This newsletter is designed specifically for all parents and musicians.  It will be mailed periodically to all families and available online.  It includes information about upcoming concerts and events, calendar items, reminders and general information.

Saturday Information

Vickie is in the lobby at Beaumont during Saturday rehearsals to help you with anything you need and to sign up for volunteering.  There is also the Information Table with all the latest handouts. Verbal announcements are made in each group during the rehearsals.  The weekly announcements will also be available on the website under “Announcements” and at the Beaumont Information Table.


Email

Group managers usually use email to communicate information to the parents and musicians in their groups.  Please make sure we have your current email address and keep us informed of any changes.


It is extremely important that you read the email announcements each week to stay informed of any last minute changes.  Please let us know if you do not have email so we can get information to you.


Keep MYS Informed

Over 500 musicians are involved with MYS. Although we try to keep abreast of any accomplishments by our musicians, we cannot do it without your help. We are also interested in hearing about any other accomplishments, both musical and non-musical, of our musicians. We are very proud of the diversity of outside activities in which our musicians are involved.



PARKING: During the spring months, Little League uses the field behind the school.  To avoid damage, vehicles may not park in the areas behind the school.  Also, please do not park any time near the fenced area, as LARGE garbage trucks must navigate in and out to pick up the dumpsters. A baseball through the car window or an unwanted dent is no fun!

Symphony and Concert Orchestra strings take a lunch break from 11:30 am-12:00 pm and are not allowed to leave the school without a written permission slip from parent or guardian.

  

Please note there are four mandatory Tuesday night rehearsals before each SO concert. Location and time will be announced.



MYS Student Mentor Program

The MYS Student Mentor Program connects advanced students to students who do not have a music teacher or cannot afford one. The Mentors are members of Symphony Orchestra and/or Symphonic Band, and in many cases, have their own private students outside of MYS. The cost is $10.00 for a half-hour lesson and, in most cases; the funds go directly into the Mentor’s MYS student account. Mentors will also sit occasionally with their students at rehearsals if they need help with their music, as long as it does not interfere with their own commitments. Symphony Orchestra/Symphonic Band Retreat

Each fall, all Symphony Orchestra and Symphonic Band members are required to attend the SO/SB Retreat. The Retreat is either a day long event or overnight, depending on the season and activities involved, and usually takes place in late September. As the Retreat is considered an important part of participating in either Symphony Orchestra or Symphonic Band, not attending is counted as an unexcused absence, unless prior arrangements have been made with the office. Please read the announcements for further information. The 2008 – 2009 SO/SB Retreat will take place on September 20, 2008 at the Crestview Manor in Corbet, Oregon.


Outreach Concerts

Each year, MYS groups go out into the surrounding communities and perform outreach concerts. They share the experience of music, especially with those who have little access to such performances. Because of this, attending an outreach concert each year is considered an important part of each group’s performance schedule and every effort should be made to attend. Recent outreaches have included Portland School District, Reynolds School District, Central Oregon, a benefit with Wilsonville School District, and the Rose Festival. Outreach concerts are announced to the appropriate group(s) as plans for the concerts are finalized.


International and Domestic Tours

A student’s education in music is far more than learning to play the notes on a page. MYS plans trips both home and abroad, so that MYS musicians have the experience of performing music in different cultural settings. The international tours take place approximately every two to three years, while the national tours taking place as the opportunity arises. These tours are traditionally reserved for Symphony Orchestra and Symphonic Band. Concert Orchestra and Concert Band members who are Sophomores, Juniors and Seniors will need to audition. Previous destinations have included Disneyland, Austria, Hungary, Japan, Russia, Great Britain, Italy, and most recently, China. Next Up-coming tour will be Mexico City, Merida and the Yucatan Peninsula, July 2009.


Musician Responsibilities & Conduct


It is the responsibility of MYS to make available all information about rehearsals, concerts, special events, and changes.  It is the responsibility of the parent and/or musician to obtain this information and to be aware of any changes.  All information will be available in the lobby at rehearsals, announced in rehearsal, and on the website.


All musicians are encouraged to participate in their school orchestra and/or band programs whenever possible.  Musicians in Symphonic Band and Symphony Orchestra are required to take private lessons; no less than two lessons per month with a minimum of 1 ? hours of lesson time per month.  Musicians in all other groups are encouraged to take private lessons.

* MUSIC: Musicians will be charged $5.00 for each original and $1.00 for each copied piece of music that is either not returned or is damaged at the end of the season. Again, do not use a pen on any MYS music – ONLY PENCIL!


Behavior/Discipline

All MYS members shall exhibit respect for themselves, fellow musicians, MYS staff, volunteers, other people’s property, and music.   As a general rule, behavior which is rude, hurtful or illegal, including the use of tobacco, alcoholic beverages or offensive language will not be tolerated during any MYS activity.  If a musician does not meet the requirements outlined in this handbook regarding attendance and behavior, disciplinary action will be taken.  In some cases, the musician will be put on probation.  Disciplinary action will be determined by the conductor and MYS staff and could ultimately result in expulsion from the organization.   

Good Faith: The staff and conductors of MYS expect honesty and commitment and in return, promise respect and forthrightness.  Loss of good faith may jeopardize membership in the organization.





Attendance Policy

Musicians may not miss more than four rehearsals per concert term or more than nine rehearsals per season. This is a very generous absence policy.  Leaving early from a rehearsal without prior notification counts as an absence. Also, being late for a rehearsal counts as half an absence.  If additional absences occur, participation in the upcoming concert is at the discretion of the conductor, and in most cases, will require an audition of your part for the conductor.  Excessive absentees may affect moving to a higher performing group.  Musicians may be put on probation in the group to which they are currently assigned.

Concert Dress Guidelines: 2008-2009 Season

Concert Dress needs to convey a uniform look that does not detract from the music.


SYMPHONY ORCHESTRA, CONCERT ORCHESTRA, SYMPHONIC BAND,

VIVALDI STRINGS, JAZZ ORCHESTRAS and FLUTE CHOIR wear the following:

 

Boys:              

Black tuxedo, white tuxedo shirt, black bow tie, cummerbund*. Bow ties and cummerbunds must be worn while on concert premises.

Black dress shoes and black socks. No black tennis shoes.

Please see the section on tuxedo rental and other purchase information.

Girls: NO pants or two piece outfits allowed!             

An approved long black dress.

Black shoes, with closed toe and heel.  No sandals, buckles, or trim pieces. 

   Opaque (not sheer) black stockings

Only small, delicate jewelry please.

OVERTURE STRINGS wear the following:

 

Boys:              

Black dress pants, white tuxedo shirt, cummerbund*. Absolutely no black denim jeans allowed!

Black dress shoes and socks. No black tennis shoes.

Girls:             

White tuxedo shirt, cummerbund*.

Black floor length skirt.  No shorter than 3 inches off the floor. No slits whatsoever, and loose enough to drape attractively when seated. Overture and Interlude girls only may wear black dress pants or Tuxedo pants. Absolutely no black denim jeans allowed! The pants will need to be approved by MYS staff to ensure that they are not too tight fitting or allow for any skin to be shown while you are on stage.

Tuxedo Purchase and Rental Information

Without exception, all tuxedos rented through MYS must be returned at the conclusion of the final concert before you leave.  All boys who have rented a MYS tuxedo need to bring a change of clothes to the final concert. 

*Summer rental tuxedos are available for $20.00 and must be arranged through the office.

Auditions

AUDITIONS FOR 2008 – 2009: SYMPHONY ORCHESTRA AND SYMPHONIC BAND: PLEASE NOTE CHANGES TO MYS AUDITION REQUIREMENTS,

   

NEW MEMBER AUDITIONS

To be accepted into MYS, all students must complete an audition prior to each season.  Placement in a group is based on the demonstrated skill level, not age.  Musicians wishing to enter MYS must have at least one year playing experience and be able to read music.

    


  Spring auditions:  Auditions are held each May and June for new musicians wishing to enter MYS.  Jazz I, Jazz II and percussion auditions are held the first Saturday after Labor Day.

Midseason auditions:  This audition is held in early January and is for new musicians only.


  

AUDITION AND REGISTRATION

The Registration fee is $40.00, non-refundable, and must be paid prior to the audition, accompanied by a completed Registration Form.  This form can be downloaded from the MYS website.   No one will be allowed to audition until they have completed the Registration Form and paid the registration fee at least two weeks prior to your audition date. You must also be prepared to fill out a MYS Medical Form. This form is available online and at the auditions.



 AUDITION REQUIREMENTS

Most auditions consist of scales, a prepared piece and sight-reading.  See the website for specific instructions for each instrument and group.

 

CURRENT MEMBERS

SYMPHONY ORCHESTRA AND SYMPHONIC BAND ONLY

Musicians who meet the following requirements will be allowed to stay in Symphony Orchestra and/or Symphonic Band without re-auditioning. THE EXCEPTION TO THIS are Symphonic Band musicians who are in Concert Orchestra and wish to audition for Symphony Orchestra and Symphonic Band musicians who want to be considered for an orchestra and are not currently in one.


CURRENT MEMBERS

ALL OTHER GROUPS (EXCEPT SYMPHONY ORCHESTRA AND SYMPHONIC BAND)

Each spring, musicians wishing to return in the fall must re-audition.  These auditions take place in May or June.  Students are not guaranteed placement based on last year’s assignment. Please see below for additional information.


Requirements:

1. You must still pay the $40.00 registration fee; complete the Registration Form and Medical Form by May 15. Registration Fee is non refundable.

2. You cannot miss more than four rehearsals per concert, or a total of nine absences during the season.

3. You must be current with your tuition.

4. All SO and SB musicians are required to take private lessons.

5. You must be in good standing in your group. If you are not, you will be notified by either your manager or conductor that you will need to re-audition.



Chamber Music

Metropolitan Youth Symphony occasionally operates chamber ensembles.  Rehearsals for these ensembles will be scheduled as time and space allows.  Applications are required for chamber ensemble consideration.  Occasionally, MYS receives requests for chamber ensembles for weddings and other events.  We recommend groups from the list of ensembles that is compiled from applications received.

 







Concerto Competition

Members of Symphony Orchestra are eligible to compete in the Concerto Competition.  To be considered, please fill out a Concerto Competition Form and return it to the office by the deadline, usually in December.  Sorry, no piano applications are being taken at this time.  Forms will be available in the foyer at rehearsals or from the Symphony Orchestra Group Manager.  Auditions are held in January.  Location, tba.  The musician’s solo piece must be memorized and played without piano accompaniment.   Availability of orchestra parts is necessary, as the musician will be performing with Symphony Orchestra at one of the MYS concerts.   If you are auditioning with more than one fellow MYS musician, you may use your sheet music.

 





Instrument Rentals

MYS has a limited number of instruments available to rent.  Fees are $40.00 per year and the instrument must be insured through the musician’s family’s insurance policy.  Musicians wishing to rent an MYS instrument must be and remain a member in good standing with good attnedance.  All instruments must be returned at the end of the season in the condition in which they were received.  Those wishing to keep the instrument over the summer must renew the rental agreement at that time.




Financial Information


 

Full Season Tuition: On website under Parent/Student Info> Fees


This fee is per musician, regardless of how many ensembles in which the musician participates.  

 

  1. Tuition Payment options and schedule: All fees must be paid or arrangements made by September 15st of each season.  If payment or arrangements have not been made, the musician will not be able to contiune.  Payment requirements may be satisfied by one of the following methods:

  2. Payment by cash: Please pay in person, so that a receipt can be issued.

  3. Payment by check: Payment in full should be mailed to the office by September 15st.

  4. Payment by Visa or Master Card: Payment in full should be called into the office.

  5. Payment Plan: Tuition fees may be paid in four equal monthly payments due the 1st of September, October, November, and December.  Late fees of $15.00 are charged on any payments not received by the 5th of each month. Tuition Installment Agreements may be downloaded from our website.






Financial Aid

MYS has a limited amount of financial aid, based on financial need.  Applications for Financial Aid may be picked up at auditions, downloaded from the web or calling the MYS office. The deadline for financial aid applications is September 15th. You are still expected to pay the $40.00 registration fee.

        *NOTE: Financial Aid recipients will be required to participate in MYS for the entire season.

 

Refunds of Tuition

Please inform us if you decide not to continue playing in MYS.

Prior to September 30th:                  75% refund

Prior to January 1st:                        35% refund

*NOTE - No refunds given after January 1st.



Student Accounts

Money earned through MYS fundraisers are kept in a student account under the student’s name.  It can be used for tuition, wardrobe, trips, and other student fees.  When the student leaves MYS, unused account funds can go into a sibling’s account.  Otherwise, it will go into the MYS General Fund.


Senior College Scholarship

The Senior College Scholarship is a $2,000.00 scholarship awarded to graduating seniors in pursuit of a college education. All graduating seniors who fill out the necessary application will be considered. Applications must be submitted by the end of April and the award is given at the last Schnitz concert. It is a “blind” award, which means that the panel who decides on the recipient does not know the identities of those submitting materials to be considered for the scholarship. The only requirement for accepting the award is to compose two essays the following year for inclusion in the “Reeds and Rosin” newsletter, produced by MYS throughout the season. Fundraising

MYS supports fundraising as a way to make money to help cover expenses for tuition, tuxedo rental, trips, tours, etc. Monies earned from fundraising efforts are deposited into the “Student Account,” from where you can withdraw funds as needed for tuition, wardrobe, trips and tours and other student fees. Many fundraisers net at least 50% profit for the musician and some of them net 100%. Examples of past and current fundraisers are: Wreath Sales, Handmade Quilt Raffle, Batteries, Car washes, See’s Candies, Used Book Sale, Old Spaghetti Factory Dining Night, and MYS Cookbooks. Each season we introduce new fundraising ideas, especially during those seasons when MYS has a tour planned.


Some of the fundraisers planned for the 2008-2009 season include: Wreath Sales in October, Carwash Coupons, Batteries and MYS Cookbooks throughout the year. Other fundraisers will be announced.

Concert Tickets

 Ticket order forms are available Saturdays at the Information Table at MYS rehearsals or through the office. The best tickets are available through MYS, however tickets can also be obtained through Ticketmaster and the PCPA Box Office.


Ticket prices generally cost between $3.00 - $32.00, depending on venue and location of seat.

 

We encourage members to purchase tickets and attend all Metropolitan Youth Symphony performances even if your child’s group is not performing.  In addition, please become involved and for MYS.
